Welcome to P1 Props Inc. We are proud to support film, television, commercial, and creative productions with high-quality props and set dressing. The following Rental Terms & Conditions apply to all rentals and help ensure a safe, smooth, and professional experience for our clients.

By placing an order, submitting a production setup form, or accepting rental items, you agree to the terms outlined below.

Rental Period & Billing

Rental charges begin when items leave our facility and continue until they are returned and checked in by our team.

• Rentals are billed according to the agreed rental period
• Full rental charges apply during the initial rental period, regardless of early return
• Late returns may result in additional rental charges
• Invoices are payable within 30 days unless otherwise agreed
• Late payments may be subject to interest charges and suspension of credit privileges

Use of Props

All rental items are supplied strictly as set dressing and prop items.

Clients agree to:

• Use items in a professional and responsible manner
• Ensure only trained and qualified personnel handle props
• Not alter, paint, modify, or repair items without written approval
• Confirm all electrical or mechanical items meet applicable safety regulations before use

P1 Props Inc. does not guarantee props are suitable for functional, stunt, or specialty use.

Filming, Copyright & Clearances

P1 Props Inc. supplies physical items only and makes no representation regarding:

• Trademark or copyright clearance
• Licensing or brand approvals
• Broadcast or publication permissions

Clients are solely responsible for obtaining all required permissions, licenses, and clearances.

Condition of Rentals

All props are rented “as is” and are available for inspection prior to rental. While we maintain our inventory to professional production standards, we do not guarantee performance for specific scenes or applications.

Loss, Damage & Theft

Clients are responsible for rental items from pickup or delivery until return and acceptance by P1 Props Inc.

Clients are liable for:

• Loss or theft
• Damage or destruction
• Loss of rental use during repairs or replacement

Replacement or repair charges may include:

• Full replacement value
• Labour and sourcing costs
• Administrative fees
• Lost rental income
• Packing materials and accessories
• Applicable taxes

Rental fees do not apply toward replacement costs.

Insurance Requirements

Clients must maintain valid insurance coverage during the rental period, including:

Property Insurance

Coverage must:
• Cover items at full replacement value
• Be worldwide in coverage
• Name P1 Props Inc. as Loss Payee

Commercial General Liability Insurance

Minimum coverage:
• $2,000,000 aggregate
• $1,000,000 per occurrence
• P1 Props Inc. listed as Additional Insured

Workers’ Compensation

Coverage must meet all legal requirements.

Failure to maintain insurance may result in rental cancellation.

Transportation & Handling

Clients must provide appropriate transportation, securing materials, and qualified crew members for pickup and return.

P1 Props Inc. reserves the right to refuse release of items if transportation arrangements are unsafe or insufficient.

Order Confirmation & Cancellations

Orders are prepared only after confirmation.

• Confirmed orders cancelled after preparation may be subject to restocking fees
• Orders delayed or abandoned may incur storage or restocking charges

Returns

Rental items must be returned:

• On or before the agreed return date
• In the same condition as received (reasonable wear accepted)
• With all accessories and packaging materials

Rental charges continue until items are returned and processed.

Compliance with Laws & Regulations

Clients are responsible for complying with all applicable laws, permits, and safety requirements related to the transport and use of rental items.

Clients agree to cover any fines, penalties, or government actions resulting from their use or possession of rented items.

Indemnification & Liability

Clients agree to defend and hold harmless P1 Props Inc., its employees, and representatives from claims, damages, or losses arising from the possession or use of rental items, except in cases of proven negligence by P1 Props Inc.

P1 Props Inc. is not responsible for indirect or consequential damages, including production delays or loss of revenue.

Governing Law

These Terms & Conditions are governed by the laws of the Province of Ontario, Canada. Any disputes will be resolved through arbitration in Ontario in accordance with applicable legislation.

Acceptance of Terms

Submitting an order, completing account documentation, or accepting rental items confirms agreement to these Terms & Conditions.
